It&#8217;s important, but almost invisible work. Yet, we added a pair of user-visible features we want to share with you. These are Update Fields option for documents and PNG format support for logo images.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Update Fields for Microsoft Word documents<\/h2>\n\n\n\n<p>Microsoft Word supports <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/list-of-field-codes-in-word-1ad6d91a-55a7-4a8d-b535-cf7888659a51\">about 60 different fields<\/a> and supports formula evaluations. The field consists of two parts: field\/formula code and its actual value. You can toggle between field&#8217;s codes and values via <em>Toggle Field Codes<\/em> menu or by pressing Alt+F9. <\/p>\n\n\n\n<p>When we process document template, we do pinpoint changes. We replace MERGEFIELDs with corresponding record values and just that. <\/p>\n\n\n\n<p>In some scenarios it might be useful to place the MERGEFIELD inside another field ( IF for example) or formula. But substitution of MERGEFIELD does not trigger outer formula re-evaluation.<\/p>\n\n\n\n<p>As fields are specific to Word document format, PDF conversion component evaluates and replaces <em>all<\/em> Word fields with their values. We thought it must be useful to apply field re-evaluation feature for Word documents as well and added <em>Update fields<\/em> checkbox (which is unchecked by default for safety) to the <a href=\"https:\/\/www.teamdesk.net\/help\/documents\/creating-a-new-document\/\">document template settings<\/a>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image.png\"><img loading=\"lazy\" decoding=\"async\" width=\"497\" height=\"96\" src=\"https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image.png\" alt=\"New Update fields option in documents\" class=\"wp-image-3253\" srcset=\"https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image.png 497w, https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image-300x58.png 300w\" sizes=\"auto, (max-width: 497px) 100vw, 497px\" \/><\/a><\/figure>\n\n\n\n<p>When checked, after replacing MERGEFIELDs with their values we perform an additional pass evaluating and replacing with their values all remaining fields in the document.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Examples<\/h2>\n\n\n\n<p><strong>Example 1: Text as a result of comparison<\/strong><\/p>\n\n\n\n<p>Consider the field: <strong>{ IF { MERGEFIELD Amount } = 1 One Many }<\/strong><\/p>\n\n\n\n<p>First pass will replace <strong>{ MERGEFIELD Amount }<\/strong> with actual value of the Amount, say 2. However, calculated value of the IF field displayed to the user remains the same. With <em>Update fields<\/em> checked, second pass will evaluate <strong>{ IF 2 = 1 One Many }<\/strong> and replace it with word <strong>Many<\/strong>.<\/p>\n\n\n\n<p><strong>Example 2: Formatting numbers<\/strong><\/p>\n\n\n\n<p>TeamDesk supports limited set of format modifiers on MERGEFIELDS directly, but you can use full Word&#8217;s potential using MERGEFIELD inside formula field. <\/p>\n\n\n\n<p>Consider the scenario: a financial document with contract&#8217;s sum is written in words. Word has a nice <strong>CardText<\/strong> modifier, just for that. All you need to do is to place merge field inside the formula field with  CardText modifier.<\/p>\n\n\n\n<p><strong>{={MERGEFIELD Contract_Sum} \\* CardText}<\/strong><\/p>\n\n\n\n<p>On first pass we will replace <strong>{MERGEFIELD Contract_Sum}<\/strong> with a value, say 1000, updating outer field&#8217;s code to <strong>{=1000 \\* CardText}<\/strong>. With <em>Update fields<\/em> checked, second pass will replace <strong>{=1000 \\* CardText}<\/strong> with calculated value, words <strong>one thousand<\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">PNG Logo Support<\/h2>\n\n\n\n<p><a href=\"https:\/\/www.teamdesk.net\/help\/enterprise-edition\/manage-account\/account-information\/\">Domain<\/a>, <a href=\"https:\/\/www.teamdesk.net\/help\/database\/database-properties\/\">database<\/a> and <a href=\"https:\/\/www.teamdesk.net\/help\/database\/database-workspaces\/\">workspace<\/a> logos can now use image transparency with support of PNG format.<\/p>\n\n\n\n<p>This is important for new UI, which supports light and dark color schemes, though useful as well for old UI with customized background. <\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image-1.png\"><img loading=\"lazy\" decoding=\"async\" width=\"543\" height=\"112\" src=\"https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image-1.png\" alt=\"Database logo on light and dark backgrounds\" class=\"wp-image-3255\" srcset=\"https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image-1.png 543w, https:\/\/www.teamdesk.net\/blog\/wp-content\/uploads\/2024\/10\/image-1-300x62.png 300w\" sizes=\"auto, (max-width: 543px) 100vw, 543px\" \/><\/a><\/figure>\n\n\n\n<p>Previously, we automatically converted all image types to JPEG. As JPEG does not support transparency, white background was added in place of transparent pixels. Now, if the image you upload is in PNG format and does not exceed 300&#215;100 pixels in size, we use it as is. If the image exceeds the boundaries or provided in the format other than JPEG or PNG, we still downscale it and convert to JPEG.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Update Fields option to automatically evaluate fields in Word documents.
