Importing Data with Users
There may be times when you import data into a table, and this data includes users’ names. When such names are imported into the User type column, dummy users are created automatically.
To avoid or minimize the need to edit dummy users, you should import user emails instead of names. As a result, the emails of the existing users will be associated with their user names automatically.
If some emails can’t be associated with any existing user, such emails will be displayed in italics in the Users list instead of user names.
So you will only need to edit new users who have not been added to the database.
To edit such new users:
Go to the Setup
mode, choose the Database
tab, and select the Sharing/Roles
> Manage existing users shares
item in the setup menu. After that, click on a user email to enter it and invite a user.
Imported User Names
In case you imported user names to the user type column, dummy users are created for each imported user name.
For example, if you imported user names and tasks to the Tasks table:
As a result, the system creates the dummy users and displays them in italics. So you will need to edit such users:
Go to the Setup
mode, choose the Database
tab, select the Sharing/Roles
> Manage existing users shares
item in the setup menu, and click on a dummy user name to enter a user email.
If the entered email has already been associated with a certain user, the system replaces the dummy user with the existing user in the table data and in the user list.
